Please keep in mind that traveling to Peru requires adaptability, patience, and an open mind. We kindly ask for your understanding that changes may need to be made without prior notice due to circumstances beyond our control, such as natural disasters, strikes, or inclement weather. By booking any of our tours and treks, you acknowledge and accept that Tour Leaders Peru Adventure may need to make necessary adjustments without assuming liability. It is important to note that these unforeseen events are beyond our ability to predict, control, or prevent.

Scope of our Service

When a reservation is made you will be sent a notification informing you of your booking status. You will receive this note within 24 hours. In that time one of our administrators will send an email to your enrolled address confirming or conveying an alternative option to the reservation. Travelers are responsible for inputting correct and current contact information. If for some reason travelers do not receive an email confirmation by 24 hours notice please contact Tour Leaders Peru Adventure.

Incremental charge in case of protests or strikes (Force Majeure)
In the past, there have been times where a protest or strike has interrupted our tours. We have learned that it is better to let you be aware rather than be unpleasantly surprised. It is not common but sometimes there are strikes and protests that delay or change your itinerary.

In the event of a protest or strike it may be necessary to leave a day or even two days earlier than scheduled. So that we are able to comply with other services. In this case, there may be an additional fee, depending on the situation.

Risks
By booking any of our adventure trips Such us (Inca Trail, Lares, Salkantay, Rainbow Mountain, Choquequirao, Train tours, and more) you assume the risks associated with personal accidents, medical emergencies, air travel problems, etc. For these treks, Tour Leaders Peru Adventure accepts no responsibility.

Primary and Back-Up Departure Dates

By providing us with a primary and a secondary date for your trek (Inca Trail, Lares, Salkantay, Tour to Machu Picchu, Choquequirao and etc.) you automatically authorize Tour Leaders Peru Adventure to use either of those dates for your reservation. After we have received your booking form and have confirmed that your deposit was made successfully. Tour Leaders Peru Adventure will send you the final re-confirmation via email, also to re-confirm the exact departure date of your trek. You should receive the re-confirmation email within 48 hours.

Sending us your personal Details for Booking
Your passport number and other personal information must be valid. Please let us know immediately if your passport number changes after booking your tour. This is especially important for booking any trek or tour to Machu Picchu.
Travel Insurance

We highly recommend you obtain travel insurance that covers accidents, rescue and air ambulance, emergency evacuation/repatriation, medical expenses. And unforeseen expenses such as possibly being carried out by Chaskis (porters) along with your trip. We also recommend that it cover cancellations and loss of luggage. Once you have purchased travel insurance, please forward a copy of the insurance company name and policy number by email or bring the information when you come into our office.

Be in Good Physical Condition
Prior to participating in any of our treks, it is important that you inform Tour Leaders Peru Travel about any medical conditions or allergies you may have. It is crucial to be in good physical health, and if you have any concerns about your well-being, we recommend consulting with a doctor. For participants aged 69 and above, a current medical certificate is required due to the altitude, as most of our treks reach 4600 masl. We highly recommend acclimatization days (2-3 days) before embarking on the trek, and it is strongly advised to be in good physical condition. Your safety and well-being are our top priorities.
You must advise your guides if you wish to leave the group
If you intend to venture independently from the group or camping area, kindly inform your guides. Should you encounter any issues with the guide or tour service, please promptly notify the guide to allow for timely resolution. Your feedback is invaluable in ensuring a seamless experience.
Vertigo To Climb HuaynaPicchu or Machu Picchu MT
If you experience vertigo and do not wish to climb Huayna Picchu under any circumstances, please indicate “No” in the reservation form and provide this information in the comments section. Please note that spaces are limited, so it is advisable to book 5-4 months in advance. In the event that Huayna Picchu mountain passes are unavailable, the Montaña walk offers a suitable alternative.
You must carry your original passport and valid ISIC card

To ensure a smooth Tour or hiking experience, you must carry your original passport and a valid ISIC card, if applicable. Failure to present the correct original passport stated in your permit will result in the annulment of your permit and denial of trail entrance. If you obtain a new passport after purchasing your permits, it is necessary to bring the old passport or inform us in writing with a scanned copy of the old passport and your new passport. This will allow us to provide the INC with official documentation to prevent any complications. Please note that an administration charge of US$ 15 per person applies for this formal change. (Group Service with a minimum of 6 Passengers).

Student US$20 Discount
The student discount of US$20, applicable for the use of student cards, is regulated by the park itself rather than Tour Leaders Peru. To avail the discount, it is necessary to provide a clear copy of a valid ISIC card during the booking process, which will then be verified and confirmed by the national park’s control. Kindly note that Youth Travel cards or International Teachers cards are not accepted by the control.
We Include In each trek a 6 kilos Except Inca Trail
As part of this trek, we offer a 6-kilo porterage service for your camp belongings, including a mattress, a sleeping bag, and personal clothes. This is because the trek can be physically demanding. However, if you require additional porterage, please let us know. If you have limited experience in high altitude trekking, we highly recommend hiring more porterage. It is an important requirement, and for just an additional 3 kilos, it costs only US$40 for the entire trek – a worthwhile investment.
We Include 3 star Hotels
Kindly take note that the hostels in Aguas Calientes Towns are known for their humid atmosphere, yet they boast cleanliness, safety, and comfort. Should you desire alternative accommodations such as a 4 or 5-star hotel, we can arrange it for you. We have several upgrade options available along with the corresponding supplemental costs based on double occupancy. Please inform us of this request during the booking process.
Cancelation Made by Clients

A. If you cancel the tour after paying a deposit and receiving confirmation, you will lose the booking deposit of US$200. This deposit is non-refundable.
B. Cancellation of the tour between 45 and 31 days before departure will result in a 70% loss of the total tour cost.
C. Cancellation of the tour between 30 and 8 days before departure will result in an 80% loss of the total tour cost.
D. Cancellation of the tour within 7 days to 48 hours of departure will result in a 90% loss of the total tour cost.
E. If you cancel the tour within 48 hours of departure, you will lose the entire tour cost.
9. However, if you are unable to participate in this tour, we can arrange an alternative tour for you to visit Machu Picchu. You will join your group and use your train tickets and entrance. The tour will continue as usual from Aguas Calientes, including Day 3 and 4, the train to Aguas Calientes, a night in a hostal, a bus to Machu Picchu, a guided tour, lunch at Aguas Calientes, and the return train to Cusco.

What Happen if a tourist change the dates?
A change in dates is permissible if the group still has more than the minimum number required, and if the train tickets and Machu Picchu entrance have not yet been confirmed. A fee of US$25.00 will be charged.

However, if the train tickets have already been confirmed, any change in dates will incur an additional fee. Peru Rail also charges a US$20.00 administration fee per ticket for such changes. In some cases, a change of date may only be possible by upgrading to a higher standard carriage, requiring payment of the price difference.

Please note that these conditions ensure flexibility while minimizing any inconvenience or extra costs for date changes.

What Happen if you become ill or injured?
If you become ill or injured while on the trail and are unable to continue, rest assured that we will provide a porter and mule to accompany you back to an area where emergency assistance is available.

Please note that any costs associated with helicopter air lifts and medical assistance will be borne by the passenger. If you are unable to complete the tour due to illness, we will gladly assist you in meeting up with your group at Machupicchu to resume your tour from that point. While there will be no refund from the original payment, we will provide you with a document certifying your illness, which can be presented to your travel insurance company.

Additionally, we cannot be held liable for any misconduct by clients or third parties. We kindly remind you to take responsibility for your personal belongings and any rented equipment. Your satisfaction and security are our utmost priorities.

Tour Leaders Peru is not liable for any additional expenses caused by adverse weather, natural disasters, strikes, accidents, illnesses, injuries, or loss of personal belongings. Clients are responsible for obtaining insurance to protect against such events. Please note that we reserve the right to modify or cancel the program in response to any unforeseen circumstances mentioned above.
Your Reservation and Deposit Payment
In order to make a reservation for a tour or trek with Tour Leaders Peru Adventure. The client is required to make a US$250 to US$400 deposit per person depending on the trek booked. The deposit can be sent through PayPal, VISA, or any major credit card which will incur a PayPal or visa merchant fee paid by the traveler. If you choose to do a Direct Bank deposit to Bank of America you save yourself the extra expense of a merchant fee. The Tour deposit is non-refundable. Upon making a reservation, regardless of reservation method, Tour Leaders Peru Adventure assumes that the client has read the Terms and Conditions.
Final Payment Terms
The remaining balance is due 21 days prior to your tour start date. However, you can pay the entire amount in advance through PayPal or VISA with a merchant fee paid by the traveler or avoid the merchant fee by doing a direct bank deposit to our Bank of America account. Please notify us if paying by Paypal or any other merchant service. If you will be in Cusco before the deadline of 21 days you can pay in person at our office. We accept both U.S. dollars and Peruvian Nuevo Soles. We do not accept any torn bills. If you are not arriving in Cusco before the 21-day deadline your tour begins, please pay using our merchant services or direct bank deposit prior to your arrival.
Cancellation Policy for Treks & Tours
Notification of cancellation must always be made in writing. This can be sent to
tourleadersperu@gmail.com.The person that booked and paid the deposit for the tour must send the notification.
Deposits
Our policy for our deposits for our treks and tours is that they are 100% non-refundable. There are no exceptions due to the fact that Tour Leaders Peru Adventure expends a great deal of expense purchasing permits, entrance tickets, obtaining staff, and making deposits for reservations or services, most of which are non-changeable, non-transferable, and non-refundable by government regulation.
Cancellation Fees
If you cancel eight weeks to 4 weeks before the date of your departure: 60 percent of the total tour or trek price is due.

Cancelation four weeks to five days before the date of your departure: 80 percent of the total tour or trek price is due.

Canceled five days to 48 hours before the date of your departure: 90 percent of the total tour or trek price is due.

If you cancel less than 48 hours before the date of your departure: 100 percent of the total tour or trek price is due.

Changes made by the Traveler

The person who signs the reservation order is the only person that can make changes to the tour, trek, or any trip. A $150 USD order fee is charged to make any changes because we pay our employees per hour, electricity, Internet, office rooms and etc. Though all efforts will be made to make the changes requested, they are not guaranteed and there may be additional costs in relation to these changes.

PLEASE NOTE THAT FOR THE INCA TRAIL, PERMITS ARE NON-CHANGEABLE, NON-TRANSFERABLE, AND NON-REFUNDABLE. DATES CAN NEVER BE CHANGED BY GOVERNMENT POLICY.

Changes and Cancellations By Tour Leaders Peru Adventure
We always make our best efforts to carry out tours and services. According to the original schedules as listed in the reservation order. However, by entering into this agreement with Tour Leaders Peru Adventure the client accepts that necessary changes may need to be made to a tour, trek, or any trip, due to predominant conditions.

Tour Leaders Peru Adventure reserves the right to change or cancel any facilities, services and substitute for a reasonable alternative of comparable value. In the event of a major change, the client will be notified as soon as possible. The client will have options with regard to accepting the change.

Altitude problems
We strongly suggest spending time at high altitude (above 3000 meters / 9842 feet – in Cusco. Or another high altitude area for a minimum of 2- 4 days before undertaking your trip. This is to minimize the possible effects of altitude sickness. Other recommendations include drinking plenty of fluids, adding sugar to your drinks, eating food high in carbohydrates, and avoiding cigarettes and alcoholic drinks.

Coca tea (an ancient traditional leaf) has been shown to help your body acclimatize much faster to high altitudes. Diamox can also be helpful – please ask your doctor about purchasing any medications before traveling.

Pre departure Briefing
The night before your trek, there will be a pre-adventure talk (briefing) at either 6:00 pm or 7:00 pm. The exact time will be confirmed by your arrival or by email. A duffel bag will be provided so you can take your belongings on the trek. If you have paid for any rentals such as sleeping bags, trekking poles, headlamps, and/or backpacks it will be given to you at this time.

It is recommended to undertake most of the trek during the dry season, which extends from April to November. Unforeseen rain can lead to snowfall, resulting in challenging trekking conditions and the potential closure of the pass. In such cases, Tour Leaders Travel cannot be held responsible for the need to take an alternate route. Additionally, it is advisable to have high-quality trekking boots and equipment to safeguard against snow-related conditions, cold weather, and glare. In rare instances when “hiking trails to Machu Picchu” are deemed unsafe and closed, Tour Leaders Peru can offer alternative treks like the 5-Day Choquequirao trek. Your booking deposit will be utilized for this purpose. Alternatively, you may choose from various other options such as the 5 Day Lake Titicaca package or a Jungle trip. We aim to provide you with a range of alternatives to suit your preferences.
